The short answer
Do you need a separate app or device to run meetings at events? No.
One app, on the phone your team already carries, records the conversation, books the meeting on the spot, and adds anyone to the room with a badge scan, so reps spend their time on discovery instead of data entry, capture, and note-taking.
That is the case Aaron Karpaty, Captello’s Sr. Director of Enterprise Sales, makes in the video below. It lines up with what we hear from event teams every week: the meeting is where events convert, and the tooling around it should get out of the rep’s way, not add steps.
Aaron Karpaty, Sr. Director of Enterprise Sales at Captello, on how one app runs every walk-up conversation, ad hoc booking, and badge scan at an event.
Video transcript
Think about it: you have your phone, which everybody carries, they’re glued to it, and right on your phone you have an app with every single one of your events on there. Say somebody walks up and they just want to have a conversation. You can just hit the record button right there and start to record, and you tell that this is qualified and meaningful. Why wait to follow up with that afterwards? Why not just click into the app, see availability over the next few hours, and book them into an ad hoc meeting?
And then when they’re in that meeting, you can hit start meeting, which will record the conversation. We’ve built this app so it’s simple. The sales team can easily just scan a badge or check in a meeting and start to have the meeting. They spend their time engaging in conversation that matters, doing real discovery, talking about real solutions, not worrying about taking notes, not worrying about whether they captured the person’s information, not worried about whether somebody else came and they don’t even know that person’s name. They just go over and scan their badge and add them to the meeting or the conversation.
And then all of this is being recorded and automating the follow-ups. And this happens over time. I might have had a meeting with them three months ago at another event. I scan their badge, it tells me I had a meeting with them three months ago. And here’s the summary of the conversation.
The tradeoff

The rep’s time is the scarcest resource on the floor

Walk any show floor and watch what a good rep is actually doing. Half the conversation is discovery. The other half is logistics: scribbling notes, remembering to scan, asking for a card, trying to recall whether the second person who joined ever gave their name. Every minute spent on capture is a minute not spent on the conversation that moves a deal.

Aaron’s point in the video is that this tradeoff is now unnecessary. When one app records the conversation, captures the attendees, and books the next meeting, the logistics disappear into the background. The rep does discovery. The system does everything else.

That is a different starting point from most event meeting tools, which treat scheduling as the product and capture as someone else’s job. Meetings are where events convert, so the tooling should run the meeting, not just reserve the slot. See how the full lifecycle works on the Captello Meeting Management Platform.

One app, three actions

Record. Book. Scan. Same app, same moment.

Here is what happens on the phone at each stage of a walk-up conversation.

Record
Hit record on the walk-up
Someone stops by and the conversation gets real. Hit the record button right there, no waiting for a lull, no switching apps. The conversation starts capturing itself.
Book
Book it before they walk away
Qualified and meaningful? Open the app, see availability over the next few hours, and book an ad hoc meeting on the spot. The spontaneous conversation becomes a scheduled one.
Scan
Scan anyone into the room
A colleague joins, a decision-maker walks up mid-conversation. Scan their badge and add them to the meeting, even without knowing their name. Nobody gets left off the record.
The spontaneous meeting

A walk-up is a meeting, if you treat it like one

The highest-value conversations are not always on the calendar. Someone stops by the booth, the conversation gets real, and it is obviously worth continuing. The old playbook says scan the badge, jot a note, and follow up later. Later is where the context dies.

Aaron’s version is faster and holds more value: hit record on the walk-up, mark it qualified, then open the app, see availability over the next few hours, and book an ad hoc meeting on the spot. The spontaneous conversation becomes a scheduled meeting before the prospect walks away. That is the same real-time booking discipline we wrote about in How far in advance should you schedule event meetings?, applied to the meetings you could never have planned.

No one left off the record

Scan a badge, add anyone, skip the note-taking

Meetings at events rarely stay a clean one-on-one. A colleague joins. A decision-maker you did not expect walks up midway through. In most workflows that person is lost: no scan, no name, no record of them being in the room.

In the app Aaron demonstrates, the rep just scans the new person’s badge and adds them to the meeting, even without knowing their name. Nobody in the conversation gets left off the record, and the rep never has to stop and take notes to make it happen. The conversation is recorded and transcribed, and the follow-up is automated from what was actually said. This is the same recording-to-follow-up chain we covered in The Follow-Up Problem Nobody Talks About at Trade Shows: the recording is what makes personalized follow-up possible at all.

Portfolio memory

Context that compounds across every event

Here is the part that separates a meeting app from a system of record. Aaron scans a returning prospect’s badge and the app tells him they met three months ago at a different event, and shows the summary of that conversation.

That is buyer context building over time, across your whole event portfolio, without anyone maintaining it by hand. The rep walks into the follow-up conversation already knowing where things left off, instead of opening with “remind me where we landed.” Multiply that across a year of shows and a full team, and the account picture gets richer with every scan rather than resetting at every event.

Closing the loop

From conversation to CRM, automatically

Recording a great meeting is only worth something if it lands somewhere your revenue team can act on. Captello is the only Event-to-Revenue Intelligence Platform that connects lead capture, meeting management, data enrichment, conversation intelligence, and CRM fulfillment in one platform. Every conversation, meeting, and activation routes back to your CRM with the attribution your revenue team needs.

That is the difference between an app that logs meetings and a platform that proves them. When the same system captures the conversation, books the meeting, and closes the attribution loop, there is no handoff where the context leaks. This is the one-platform argument Aaron makes in Stop Stitching Event Tools Together. Start Proving Revenue., and it is why counting meetings is not the same as proving them, the point of Vanity Metrics Are Dead: What Event ROI Actually Means Now.

Every meeting measurable, every conversation attributable, every event accountable to revenue.

Meetings are booked, run, and attributed in the same app that captures the lead and records the conversation, then tied end to end in Revelation™, Captello’s enterprise analytics. See the full Meeting Management platform or explore how the connected event-to-revenue platform fits together.

Questions this raises

Frequently asked questions

What is the best event meeting management tool for leaders to schedule back-to-back meetings automatically?
Captello runs every event meeting from one app on the phone reps already carry. It books meetings from CRM with real-time availability, so reps fill back-to-back slots and add ad hoc meetings on the spot, records each conversation, and routes the summary and follow-up to your CRM. Every meeting is tied to the pipeline it influences, so a full calendar becomes attributable revenue rather than activity.
What tools automate booth appointment booking and follow-up for trade show leads?
Captello automates the full cycle. Reps book ad hoc meetings from the floor with real-time availability, scan badges to add every attendee to the record, and the platform records the conversation and generates automated, personalized follow-up routed to your CRM. No manual note-taking and no delayed spreadsheet cleanup.
How do I coordinate customer meetings across multiple events?
Because every event lives in one app and every conversation is recorded and routed to CRM, buyer context builds across your whole portfolio. Scan a returning prospect’s badge and the app surfaces prior meetings from other events plus a summary of what was discussed, so your team coordinates follow-up across shows instead of starting over at each one.
What tools help SDRs book meetings around conferences?
Captello’s Meeting Management Platform lets SDRs plan and book outbound meetings directly from CRM before the event, then book more in real time on the floor. At EXHIBITORLIVE, that approach produced 13 pre-scheduled meetings before the doors opened and 69 more booked live on the show floor, with every meeting feeding meeting-to-revenue attribution.
How do I measure meeting effectiveness at trade shows?
When meetings run through Captello, each one is tied to a lead record, a conversation transcript, a qualification score, and a CRM outcome. The Meeting Management Platform tracks show rates and cancellations, and Revelation™ measures meeting outcomes alongside lead volume, quality, engagement, and pipeline, so meeting effectiveness is a number, not a gut feeling.
Do reps need a separate scanner or device for this?
No. The core idea in Aaron’s video is that the phone your team already carries is the meeting platform. Reps scan badges, record conversations, and book meetings from the same app, with every event loaded in one place, so there is no second device to buy, manage, or train on.
Meetings first. Revenue follows.
